PRIVACY POLICY

WHO WE ARE

This website is run by Power and Pilates Ltd, a company registered in England and Wales under company number 17224483. We trade as LYFE Power + Pilates Studio.

Our address is Unit 61, BSS House, Cheney Manor, Swindon, SN2 2PJ.

We are registered with the Information Commissioner's Office under registration number ZC242969.

For anything to do with your information, email studio@lyfepilates.com.

This policy explains what we collect, why we collect it, who else sees it and what you can do about it. It was last updated in October 2026.

WHAT WE COLLECT

We only collect what we need to run the classes. What that is depends on how you get in touch.

When you fill in a form on this website

Your name, email address, phone number, how you heard about us, and whatever you write in the message box. We also record whether you ticked the box to hear from us.

When you book a class

Bookings are handled by Calendly, which passes us your name, email address and phone number.

When you pay

Payments are taken by Stripe. Your card details go straight to Stripe and we never see or store them. We receive a record that the payment was made.

When you join as a member

Your name, contact details and home address.

When you message us

Whatever you send us by WhatsApp, email or social media, along with your phone number or account name.

Before you take part in a class

Information about injuries, pregnancy, surgery or medical conditions. This is covered separately below, because it is treated more carefully than everything else here.

In class

Photographs and video, which are also covered separately below.

WHY WE COLLECT IT

The law says we have to have a reason for using your information, and tell you what that reason is. Here is ours.

To book you into classes and keep you informed about them, we use your name, email and phone. Our reason is that we need it to deliver what you have booked.

To take payment and keep a record of it, we use the payment records from Stripe. Our reason is the same.

To keep payment records for HMRC, we rely on a legal obligation.

To answer your questions and messages, we use your name, contact details and your message. Our reason is our legitimate interest in replying to people who contact us.

To keep you safe in class and adapt exercises for you, we use your health information. Our reason is your explicit consent.

To send you marketing emails or messages, we use your name, email and phone. Our reason is your consent.

To use photographs and video to promote the studio, our reason is your consent.

To understand how the website is used, we use website analytics. Our reason is your consent, given through the cookie banner.

Where our reason is consent, you can change your mind at any time. Doing so does not affect anything we did before you told us.

HEALTH INFORMATION

Before you take part we ask about injuries, pregnancy, surgery and medical conditions. We do this so we can adapt exercises for you and keep you safe, and for no other reason.

The law treats health information more carefully than anything else in this policy, so here is exactly what happens to it.

You give it to us on a paper form. We do not type it into a computer, a spreadsheet or an app.

Only Claire and Amanda see them. Nobody else has access, and we never share them with anyone outside LYFE.

We do not use health information for marketing, and we never pass it to anyone else.

When you stop attending, we destroy your form. We do not keep it on file.

You do not have to tell us anything. If you would rather not, you can still take part, but we will not be able to adapt the class for a condition we do not know about.

PHOTOGRAPHS AND VIDEO

We sometimes take photographs and videos in class to use on social media and on this website.

We will always ask first, and you are free to say no. Saying no makes no difference to your class or your membership, and nobody will make a thing of it.

If you have already agreed and then change your mind, email studio@lyfepilates.com and we will take the image down. We will not be able to recall anything that other people have already shared or saved, but we will remove it from everywhere we control.

MARKETING

We send occasional emails about classes, events and offers. We only send them to people who have asked for them by ticking the box on our website form.

Booking a class does not add you to our marketing list, and neither does sending us a message.

If you have also ticked the separate box for WhatsApp and text messages, we may contact you that way as well. These are two different choices and you can say yes to one and no to the other.

Stopping them

Every marketing email has an unsubscribe link at the bottom. One click and it stops.

For WhatsApp or text messages, reply STOP, or email studio@lyfepilates.com and we will take you off the list.

Unsubscribing from marketing does not cancel your membership or your bookings, and you will still get the practical messages about classes you have booked.

WHO ELSE HANDLES YOUR INFORMATION

We use a handful of companies to run the business. They only handle your information to do a job for us, and none of them are allowed to use it for their own purposes.

Squarespace hosts this website.

GoHighLevel stores contact details from our forms and sends our emails.

Calendly takes class bookings.

Stripe takes payments.

Zoom runs our live online classes.

Google provides website analytics.

Amanda teaches alongside Claire and sees the paper health forms, for the same safety reason set out above.

Some of these companies are based outside the UK. Where your information goes abroad, it is protected by the safeguards the law requires.

We do not sell your information to anyone, and we never will.

HOW LONG WE KEEP THINGS

We do not keep anything longer than we need to.

Health forms are destroyed when you stop attending.

Member and contact details are kept for two years after you leave.

Your place on the marketing list lasts until you unsubscribe.

Payment records are kept for six years, which is what HMRC requires. These are held by Stripe.

Enquiries that do not lead anywhere are kept for two years.

If you want us to delete something sooner, ask us and we will, unless the law requires us to keep it.

YOUR RIGHTS

You have the right to:

See what we hold about you. Ask us and we will send you a copy, free, within one month.

Correct anything wrong. Tell us and we will fix it.

Have it deleted. We will, unless the law requires us to keep it.

Object to how we use it, or ask us to limit what we do with it.

Withdraw consent at any time, for marketing, photographs or health information.

Take your information elsewhere in a format another provider can read.

To use any of these, email studio@lyfepilates.com. You do not need to give a reason and we will not charge you.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

COOKIES

This website uses cookies, which are small files stored on your device. Some are needed for the site to work at all. Others help us understand how people use it.

When you first arrive you can choose which ones to accept, and you can change your mind at any time.

Our separate cookie policy explains each one and what it does.
